I posted this reply to the General Discussion group but missed posting it here.

Thank you for all of the helpful responses. I continue to be impressed with how willing IAAP members are to share.

Thanks to your comments, I'm already feeling more comfortable with the year ahead. I already requested and received the suggested presentation. The letter sample also looks like an excellent tool. Naturally self-confidence increases when one is prepared with the right tools and help from local and web community mentors.

I'm looking forward to continued exchanges throughout the year.

I, too, am a new Nominations Committee Chair and am hope for new ideas.  Our chapter has 71 members but we still have trouble recruiting members to step up to a leadership role.  It seems our chapter has lots of new members and members with lots of tenure that are interested in becoming less active.  Last year each member was contacted by someone on the Nominating Committee.  At first almost everyone said no, but at the last minute we had some change their mind.  What a relief!

As president last year I tried very hard to encourage committee chairs to mentor some of their committee members so they will feel more comfortable.  I'm not sure how successful I was, but we did have a couple of members agree to accept a role as committee chair.  That is the first step.

I am open to new innovative ideas.

Mentoring is a great tool to cultivate new leaders.  It is so important to get your members actively involved.  Most times you can accomplish this by simply asking them if they can help out.  Many newer members have reservations about volunteering for a variety of reasons. Some haven't reached a comfort level yet (shy and afraid to volunteer), others may be unsure of time committments or whether they have anything of value to offer.  When you ask members to help out, you are also telling them that you see value in them, which is a great motivator.  Once the members start to become more active, you will be able to determine those that have a hunger to learn and grow.  Let them know they are a great asset to your chapter and that you appreciate all they do.  Encourage them to take on more responsibility.  The more active they become, the more they will grow personally and professionally. 

Attached is a sample letter that our nominations committee sends to potential candidates letting them know they've been nominated for a board position and encouraging them to accept the nomination.  We've found that this works much better than waiting for members to volunteer.

Starting today, I'm the 2010-2011 nominations committee chair for our chapter. To be honest and forthright, this responsibility seems more challenging to me than serving as the 2009-2010 chapter president.

Since there has been limited activity with the Nominations Committee eGroup, I'm also posting this to the General IAAP Discussion this time.

I am interested in any resources, techniques, insights, and advice any of you are willing to share. Our chapter elections aren't until the May 2011 chapter annual meeting. However, I believe in being prepared and have a theory there may be some ways I can start now to "lay the groundwork" for successfully inspiring / recruiting members to be involved as officers for our 2011-2012 chapter year.

I am privileged to have 2 experienced members as volunteers for the nominations committee. I am pleased I will be able to learn from them. As committee chair I also want to be prepared as a leadership asset to the committee.

Thank you in advance for any thoughts you are willing to share.

Thank you to all members for your great ideas in this eGroup!   I am pleased to advise that my fabulous Nominations Committee has recruited a full slate of nominations for our April elections.   We have:

President - one member
President-Elect - one member nominated
Treasurer - one member
Recording Secretary - two members nominated
Corresponding Secretary - two members nominated

I thank all members you are willing to run on the ballot.    And you're right, it is a year-long endeavor to groom our members regarding the business of the chapter and give them the confidence and knowledge needed for the officer positions!

I am currently serving as the Nominations Chair, Bylaws and Standing Rules Committee Chair and sit on three other committees.  I am one of the founding members of the IAAP Bluewater Sarnia Lambton Chapter in Point Edward, Ontario, Canada, chartered in June 2008.  We drawing from a smaller membership (23) so this makes it more difficult to find new officers when nomination time arrives. Most of the officers now, will complete their two year term in June, but have the option to continue for another year.  

As most organizations, there is a core group of volunteers and I have been concerned with the lack of commitment and involvement of many of our members. In my role as the Chair of the Bylaws Committee I started submitting newsletter articles outlining the officer duties, with an introduction each month to all positions and in closing encouraged them to consider how they could become more involved in the Chapter.  My first submission was in September for the 2009 - 2010 term, and even though I'm sure members thought it was premature, I wanted to plant the seeds for nomination and peak their interest early.  

In June 2009, I wrote an article outlining my first year in the chapter hoping to also catch their attention in becoming involved. I described how when I first joined I felt that I was too busy to commit to anything and was happy just to attend the monthly meetings.  I soon found an area that interested me and felt I could take on the responsibility, and soon was involved in the Board of Directors and many other committees.  I encouraged them to think about how valuable their talents and expertise could be to the chapter and that they would be mentored by past officers and the President to help them along the way.

I agree that it can never be too early to begin encouraging members to step up and serve as an officer.  We need to encourage our current officers to link arms and set the stage for others who seem interested in their position so that they may step up when the call for nominations comes.  For some of us, stepping up to the plate and speaking out is intimidating, but with time it becomes easier.  As a brand new Chapter, the first two years were trial and error, but I think most of us are feeling better equipped and have become familiar with the duties and responsibilities of our positions and hope the major transition phase should be behind us now.

I agree also, that genuine encouragement and support of all members throughout the year will make their decision to volunteer to serve as an officer so much easier for them.  We have a difficult job to recruit officers, but I'm willing to work at it and appreciate the support of the Nominations E-Groups.

This is the description the North Dallas Chapter has for the Bylaws and Standing Rules Chair:

a.        The Bylaws and Standing Rules Committee shall:

 

1)       Receive all suggestions for amendments to the Bylaws and Standing Rules, prepare them in proper form, and submit them for action by the membership in accordance with Section X of these Bylaws.

2)       Maintain conformity in Chapter Bylaws and Standing Rules with the International and Division Bylaws and Standing Rules.

3)       Propose amendments.

4)       Submit Bylaws and Standing Rules and/or amendments thereto to the Division Bylaws and Standing Rules Committee for review and approval in accordance with the Division Bylaws and Standing Rules.

5)       Assist the Board of Directors and the membership in preparing and submitting amendments to the International and Division Bylaws and Standing Rules.

Review all proposed amendments to International Bylaws and Standing Rules and Division Bylaws and Standing Rules and make recommendations to the Board of Directors

In our chapter, we have a Recording Secretary.  For communications, we have a Marketing & Advertising Committee, Newsletter Committee and Database Manager (who sends out all IAAP related e-mail broadcast messages to the membership as requested).  Those descriptions can be found on the same web page.
